Control stays on the organization's side

Control, traceability and data protection are maintained in every automation. It is not a product: it is the boundaries, controls and regulatory grounding of the work.

Six governance pillars

Each one defines a boundary, a control or a grounding of the work. They expand one by one.

01

The ERP isn't replaced. The solution is built around it.

The automation layer relies on the tools the organization already has approved, without adding friction with IT. The client's ERP remains the system of record.

02

The execution mode is defined by process risk, not by technology preference. Where an error affects financial information or the audit trail, execution is deterministic and AI stays out of the decision: arithmetic and amount-level resolutions run on code, not on a language model.

AI and traza. workers are designed with the COSO internal control framework, the framework SOX compliance and external auditors rely on.

Internal control →

03

Approvals and the separation between who executes and who controls are kept; whatever falls outside the rules goes to a person and the decision is recorded.

Internal control →

04

Every step writes an entry in an append-only log layer: what is recorded is not rewritten. The record makes it possible to reconstruct what was done, who or what did it, on which data and when. It also reconciles the result end to end (from the source document to the ERP entry) with no later reconstruction work.

FieldWhat is recorded
EventThe executed action: extraction, matching, routing, approval or logging.
ActorWho or what executed it: deterministic workflow, scoped AI or a person.
DataThe object acted upon, without taking sensitive information out of the client's environment.
TimestampDate and time of the action.
VersionThe version of the process and of the applied knowledge, to reproduce the decision.

Record retention and export for audit are agreed with each client.

05

Data stays in the tools the organization has already approved; work happens in that environment, not on an external platform the information is exported to. Access follows least privilege: only the permissions each process needs.

Data minimization also applies: each process works only with the data it needs; only that data is extracted and retained.

traza. only integrates services, systems and APIs that are contracted and approved by the organization. No tools in trial mode, personal accounts or public-access AI models are connected: only commercial interfaces whose terms exclude the use of data to train models. Any new integration is validated with the client before operating on real data.

ControlHow it is implemented
ResidencyThe client's reference information remains in its approved tools. The services traza. operates to run the process are hosted in the European Union, under the GDPR framework.
Least privilegeAccess scoped per process; no broad permissions by default.
IsolationStrict separation between clients; one organization's data is not reachable from another (row-level access control where applicable).
SecretsCredentials live in the backend; never exposed in the frontend or reachable from the browser.
EncryptionEncrypted transport end to end; credentials managed encrypted in the backend.
LifecycleSeparate development, testing and production environments. Changes are versioned and validated before release, with no live intervention on the production environment.
AI modelsIntegrated through their commercial interface, whose terms exclude the use of inputs and outputs to train models. The data-processing agreement with each vendor is being formalized.
ConfidentialityConfidentiality (NDA) and data-processing (DPA) agreements, with named sub-processors.
Retention and deletionPeriods agreed with the client; deletion on request.

In the event of a security incident, traza. notifies the client within 72 hours of becoming aware, with the detail available for their assessment.

Depending on each client's residency or regulatory requirements, the automation can be deployed on their own infrastructure. In that setup the orchestration and the record stay within the client's environment; residency and international transfers are handled at the source.

The solution runs in traza.'s cloud, in the client's accounts or on its own infrastructure. In the client's cloud or infrastructure, data residency and access stay on the organization's side.

06

The process stays with the company, not with the vendor. A frequent objection (what happens if everything depends on a single vendor) is answered by the design of the work, not by a promise.

No dependency on traza.

No lock-in
Custom development is built on market tools, with no proprietary parts that create lock-in. Third-party solutions keep each vendor's terms.
Documentation
The process is documented and operable by the organization, not only by the team that built it.
Bounded scope
Scoped by process: no open-ended projects or indefinite retainers; each stage is decided with what the previous one revealed.
Backing
Where a proven market solution exists, it is integrated: the process rests on tools with their own support, alongside 15+ years of experience in finance at multinational companies.
Technical continuity
traza. runs on managed services with the provider's own backups; the configuration is documented and reproducible; the client's data of record lives in their own tools. A failure of traza.'s infrastructure does not lose data.
Operational sovereignty
The client keeps administrative control over the operation: it can pause or step into any flow directly and immediately, on its own audit criteria.
Ownership and portability
The data belongs to the client. Custom development stays operable with no lock-in; traza. keeps only the generic reusable patterns, never the data or the client-specific configuration. At exit, the data stays in or is exported from the client's tools, with deletion on request.
Migration
The client can ask for the solution to move to its own infrastructure.
Source code escrow
The code is held in escrow against a discontinuity.
Continuity license
The client can operate the solution on its own.

Integration, data and continuity

INTEGRATION AND TECHNOLOGY
01Does the ERP need to be replaced or modified?

No. The ERP is not replaced and remains the system of record; the solution is built around it.

02What technology is it built on?

On established tools, with no proprietary components. The detail is in the technical dossier.

DATA AND AI
03Where does the data stay?

In the tools the organization already has approved. If regulation requires it, the solution runs on the organization's own infrastructure.

04Does AI do the calculations?

No. Calculations and decisions on amounts run on code; AI interprets or suggests where an error is caught in a later step.

CONTRACT AND CONTINUITY
05Does it create dependency on traza.?

No. The process stays documented and operable by the organization, and the data belongs to the client, is portable and is deleted on request.

06Does traza. sign an NDA and a DPA?

Yes, with the sub-processors named.
